Conference Web Support at SLAC
SLAC IT understands the important role conferences and workshops play in a world-class research facility such as SLAC. Conferences are important avenues for scientists to present and discuss cutting-edge research, exchange ideas and insights, and network for collaboration and career development.
Conferences that are hosted at SLAC are entitled to have a conference website to promote the event which will be hosted for one year.

- user registration functionality
- participant ist
- agenda pages
- ability to host presentation and poster files (pdfs, ppts, etc)
- embed YouTube and Vimeo videos of conference presentations
- visiting SLAC pages
- ability to build out more content pages as needed
Conference Fees
All fees associated with a conference must be collected via an approved Stanford Payment Gateway, such as Certain or Event Bright. All payment transactions must take place external to the conference site and the responsibility of the conference coordinator. SLAC IT is not responsible for managing any aspect of conference payments.
Conference Site Expiration
After 1 year of hosting is complete, the web team will move conference assets (agendas, presentation files, ability to embed YouTube videos) to SLAC’s main conference archive site which will be indexed by search engines and discoverable by Google, for example.
Our Google Analytics shows that traffic to conference sites drops by close to 98% after 3 months of the conference date. The lab can’t justify hosting fees for conference sites that have low visitation metrics. Our Conference archive site will be able to house important conference artifacts.
Conferences that are eligible for SLAC Drupal sites must be sponsored and hosted by SLAC using SLAC-branded templates.
Recurring Conferences
For programs at SLAC that have annual meetings, the program is entitled to a parent Drupal site that is not considered a conference site and can add sub-pages to their parent site for their yearly meetings. These sites do not fall under the one-year hosting limit.
